HyperOffice releases compliance suite for R2v3 certification

The company says the suite streamlines the entire certification process, from initial documentation to the final audit.

HyperOffice, a Rockville, Maryland-based provider of collaboration and productivity software, has launched the R2v3 Compliance Suite, which the company says simplifies the R2v3 certification process and recordkeeping, making it as easy as using TurboTax for tax preparation.

The company says the software streamlines the entire certification process, from initial documentation to final audit, enabling businesses to get certified more efficiently. Additionally, the suite offers a range of apps to meet the recordkeeping obligations of R2v3, including inventory management, downstream vendor audit, throughput tracking, compliance calendar and training management.

“We understand that the R2 certification process can be daunting for many businesses, and we wanted to provide a solution that simplifies the process and makes it more accessible,” HyperOffice CEO Farzin Arsanjani says. “Our R2v3 certification software is like TurboTax for R2, providing a user-friendly interface and step-by-step guidance to make the certification process as easy as possible.”

The service contains two parts, the certification manager and the compliance apps. The certification manager has been designed to take the complex and time consuming process of understanding the R2v3 standard, ISO or any other standard and make it easier to understand. It also helps show how the standard applies to a specific business, HyperOffice says, and organizes and documents what is required for a successful audit.

Pankaj Taneja, vice president of marketing and product management at HyperOffice, says it turns these subjects into a series of steps that the user goes through one step at a time in a software application available from any browser or mobile device. The software will determine which parts of a standard apply to a specific business based on the first few questions the user answers, and will walk the user through relevant questions giving them the opportunity to document their answers and upload relevant documents. All the decision trees are handled through the user’s selections, according to the company.

“We even help users with questions they may struggle with by offering additional information and examples,” Taneja says. “At any point of the process, the user can have their auditors/consultants log in to the same system and perform their audit.”

Users also can create an audit report that contains answers, procedures, documents and other evidence to share with auditors, consultants and management. Once the user goes through this process they have created a system of record for all their current and future audits and certifications, HyperOffice says. Future certifications and audits then will consist of updating the existing information stored in the system.

The second component the service offers is a suite of applications designed to help businesses remain compliant and streamline their day-to-day operations. Some examples include a compliance calendar application that can store and track all upcoming tasks related to compliance with support for all the workflows around each task, from notifying the right stakeholders at different times to documenting how a task required for compliance was completed.

It also offers a downstream vendor management application to help ensure downstream vendors are certified and any changes are immediately tracked. Also included is an inspection and incident management application. The recordkeeping apps allow users to track and manage day-to-day operations in compliance with the standard.

The company also offers some customers the opportunity to create additional applications designed to streamline specific business processes unique to their operations.

HyperOffice says users knowledgeable about their operations working with an average-sized operation can complete the entire process and be audit ready in as little as a few weeks compared to the typical eight months it takes to normally get certified.

“I think the certification manager is a great tool for all stakeholders in the market,” says Elbert Sorrell, principal consultant of Risk Control and Safety Consulting Services. “The presentation of the requirements as a series of simple questions with examples makes a complex R2 standard approachable and less daunting. Further, the way it organizes information, evidence and documentation will make the audit process way more efficient.”

While the service does help streamline the process, HyperOffice does not provide the necessary documentation needed to apply for those certifications.

The company currently is offering two pricing models:

  • a monthly subscription price of $499 for an unlimited number of users per facility which includes the certification manager and the entire application suite for compliance and streamlining operations

  • a one-time fee of $1,795 for an unlimited number of users per facility for three months including the Certification Manager and the entire application suite for compliance and streamlining operations.
